D&T Translations Privacy Policy
Version 1.4
Privacy Controls Notice 1.0 — November 4, 2026. The tracking choices described below are separate from agreement to our terms or this policy. Closing a notice, requesting a quote or making a purchase does not record affirmative advertising consent.
D&T Translations (the “Company”, "we", "us", "our" "ours") is committed to protecting the privacy of its users ("website visitors", "clients", "customers", "you", "your", "yours", "they", "them", "their", "theirs"). Unless otherwise indicated below, this Privacy Policy applies to any website that references this Privacy Policy, any Company website, as well as any data the Company may collect across partnered and unaffiliated sites.
For purposes of this Agreement, “Service” refers to the Company’s service which can be accessed via our websites at dttranslations.com and dttranslate.com or through our mobile application. The terms “we,” “us,” and “our” refer to the Company. “You” refers to you, as a user of Service. The Parties refer to you and the Company.
We take the security of your personal data seriously. All user profiles and credentials on the dttranslate.com portal are managed through Google Firebase Authentication, which utilizes industry-standard encryption to protect your login information.
This Privacy Policy applies to all services provided by D&T Translations across our domains, including dttranslations.com and our secure portal at dttranslate.com. We do not engage in credential harvesting or unauthorized data collection; all data provided is used solely for the purpose of managing translation projects and user accounts within our agency.
I. CONSENT
By accessing our Service, you accept our Privacy Policy and Terms of Use, and you consent to our collection, storage, use and disclosure of a personal information as described in this Privacy Policy. In addition, by using our Service, or services across partnered and unaffiliated sites, you are accepting the policies and practices described in this Privacy Policy. Each time you visit our website, or use the Service, and any time you voluntarily provide us with information, you agree that you are consenting to our collection, use and disclosure of the information that you provide, and you are consenting to receive emails or otherwise be contacted, as described in this Privacy Policy. Whether or not you register or create any kind of account with us, this Privacy Policy applies to all users of the website and the Service.
II. INFORMATION WE COLLECT
We may collect both “Non-Personal Information” and “Personal Information” about you. “Non-Personal Information” includes information that cannot be used to personally identify you, such as anonymous usage data, general demographic information we may collect, referring/exit pages and URLs, platform types, preferences you submit and preferences that are generated based on the data you submit and number of clicks. “Personal Information” includes information that can be used to personally identify you, such as your name, mailing address, email address and/or documents.
In addition, we may also track information provided to us by your browser or by our mobile application when you view or use the Service, such as the website you came from (known as the “referring URL”), the type of browser you use, the device from which you connected to the Service, the time and date of access, and other information that does not personally identify you. We use this information for, among other things, the operation of the Service, to maintain the quality of the Service, to provide general statistics regarding use of the Service and for other business purposes. We track this information using cookies, or small text files which include an anonymous unique identifier. Cookies are sent to a user’s browser from our servers and are stored on the user’s computer hard drive. Sending a cookie to a user’s browser enables us to collect Non-Personal Information about that user and keep a record of the user’s preferences when utilizing our services, both on an individual and aggregate basis. The Company may use both persistent and session cookies; persistent cookies remain on your computer after you close your session and until you delete them, while session cookies expire when you close your browser. Persistent cookies can be removed by following your Internet browser help file directions. If you choose to disable cookies, some areas of the Service may not work properly.

III. HOW WE USE AND SHARE INFORMATION
Personal Information:
In general, we do not sell, trade, rent or otherwise share your Personal Information with third parties without your consent. We may share your Personal Information with vendors (translators) and other third-party providers who are performing services for the Company. In general, the vendors and third-party providers used by us will only collect, use and disclose your information to the extent necessary to allow them to perform the services they provide for the Company. For example, when you provide us with personal information to complete a transaction, verify your credit card, place an order, arrange for a delivery, or return a purchase, you consent to our collecting and using such personal information for that specific purpose, including by transmitting such information to our vendors (and their service providers) performing these services for the Company.
However, certain third-party service providers, such as payment processors, have their own privacy policies in respect of the information that we are required to provide to them in order to use their services. For these third-party service providers, we recommend that you read their privacy policies so that you can understand the manner in which your Personal Information will be handled by such providers.
Human Translation, CAT, Machine Translation and AI Tools
Our human translators, freelancers, coordinators and other staff may use independently selected computer-assisted translation (CAT) tools, translation memories, machine translation (MT) and AI services, including Gemini or ChatGPT, to support translation quality, terminology research, meeting deadlines and administrative tasks related to providing our services. Document content, including personal or confidential information, may be processed by these tools. AI assistance does not replace the human translator's responsibility for the work.
Freelancers select and pay for their own tools. We do not require a particular brand or a business or enterprise subscription. Protections depend on the particular product, account type, provider terms and settings; consumer Gemini or ChatGPT services are not interchangeable with Google Cloud, API, business or enterprise offerings.
We require translators and staff not to enable or authorize general-purpose model training or improvement with client material. Before submitting confidential or identifiable content to an external tool, they must confirm that the provider's applicable terms and settings offer suitable protections, opt out of training where available, and avoid submitting that content if adequate protections cannot be confirmed. They must minimize the data shared and comply with agreed project restrictions. This is a requirement for use, not a guarantee that every provider has enterprise safeguards, retains no data or allows us to verify all processing.
If you need restrictions on external AI, MT, CAT or translation-memory use, contact support@dttranslations.com before submitting documents. Proposed restrictions apply only after we confirm feasibility and agree them with you; we cannot promise every requested restriction can be accommodated. This disclosure does not waive your privacy rights or authorize general-purpose training or improvement with your material.
In addition, we may disclose your Personal Information if required to do so by law or if you violate our Terms of Use. We may also cooperate with law enforcement agencies and turn over your personal information including your documents in the event that we are asked to. In some cases, we may ask for a subpoena. If this is an important issue to you, please reach out to us by email to discuss this.
Due to the increasing number of credit card scams and other fraud, we have been forced to implement certain measures to protect our company. We might start by verifying a customer's identity by matching their physical address to their IP address, asking for a copy of their ID and giving them a phone call or text message. Suspicious form submissions are ignored. Should we be subjected to fraud, however, we will immediately notify law enforcement agencies including FBI, Local Police, Homeland Security, USCIS etc.. We will provide them with the IP address, documents and other information provided.
Non-Personal Information:
In general, we use Non-Personal Information to help us improve the Service and customize the user experience. We also aggregate Non-Personal Information in order to track trends and analyze use patterns of the Service. This Privacy Policy does not limit in any way our use or disclosure of Non-Personal Information and we reserve the right to use and disclose such Non-Personal Information to our partners, advertisers and other third parties at our sole discretion.

IV. HOW WE PROTECT INFORMATION
We implement reasonable precautions and follow industry best practices in order to protect your Personal Information and ensure that such Personal Information is not accessed, disclosed, altered or destroyed. However, these measures do not guarantee that your information will not be accessed, disclosed, altered or destroyed by breach of such precautions. By using our Service, you acknowledge that you understand and agree to assume these risks.
XIV. Data Sharing with Translators and Coordinators
Your personal information, including any documents you provide, is shared with our network of translators and third-party service providers (coordinators). These individuals are integral to facilitating the provision and coordination of our translation services. Our translators and coordinators are authorized to retain your personal information and documents only for as long as is reasonably necessary to complete their assigned tasks and ensure the successful delivery of our services to you.
We require translators and coordinators to protect the privacy and confidentiality of your personal information and documents in their own environments and when using external tools, subject to the safeguards described above. They must delete personal information and associated documents from systems they control within a reasonable timeframe after project completion, subject to applicable retention obligations, and cooperate with deletion requests and provide confirmation. External providers' retention and deletion limits are described below.
Copies of your personal data, including documents, may persist in email communications exchanged with our translators and coordinators. This retention is crucial for maintaining a comprehensive record of your orders and the history of activities related to them. This allows us to refer back to past interactions, resolve any potential issues, and ensure continuity in our service provision. You can, however, request the deletion of such emails at any time.
XV. Data Retention in Email Communications
Copies of your personal data, including documents, may persist in email communications exchanged with our translators and coordinators. This retention is crucial for maintaining a comprehensive record of your orders and the history of activities related to them. XVI. What Data We Collect and How We Process it
3. Data Security (Update)
"We implement a variety of robust security measures to protect your personal information and confidential documents from unauthorized access, alteration, disclosure, or destruction. These measures include:
- Encryption: Data transmitted between your browser and our servers, and data stored in our database (Firebase Firestore or Firebase Storage, referred to as "Firebase", "Firestore" or "Storage") is encrypted. Firebase is a cloud-based platform that provides a variety of services, including Firestore (a NoSQL database) and Storage (for file storage). It is designed to help developers build secure and scalable applications. It is owned by Google.
- Access Controls: Strict access controls are in place for our employees.
- Firebase Security Rules: We configure Firebase security rules to restrict access to your data within Firestore and Storage.
- Secure Third-Party Vendors: We carefully select third-party service providers (like Firebase, Telesign (SMS), Mailgun (Email), and Google Cloud (Cloud services)) who adhere to high security standards and industry best practices.
- We conduct regular security audits and employee training on data privacy.

We will send you Service-related announcements on occasions when it is necessary to do so. For instance, if our Service is temporarily suspended for maintenance, or a new enhancement is released, which will affect the way you use our Service, we might send you an email. Generally, you may not opt-out of these communications, which are not promotional in nature. Based upon the Personal Information that you provide us, we may communicate with you in response to your inquiries to provide the services you request and to manage your account. We will communicate with you by email or telephone, in accordance with your wishes. We may also use your Personal Information to send you updates and other promotional communications. XII. DATA RETENTION PERIOD

If you wish to cancel your account or request that we no longer use your information to provide you services, please contact us at support@dttranslations.com. We may try to erase all your data to minimize the risk of its being breached or lost after 2 years or more of inactivity. Please note however we may still keep some of your information in safe storage such as your name and email address. In addition, some of our third party providers may still retain your personal information. You have the right to request access to the personal information we hold about you and to ask for it to be corrected or deleted.

Opting Out of Communications: You can opt out of receiving SMS notifications from us at any time by replying 'STOP' to any SMS, or managing your preferences in your user profile. You can unsubscribe from our marketing emails by managing your preferences in your user profile. Please note that even if you opt out of marketing communications, we may still send you essential transactional emails related to your orders and account."
5. Data Retention (Update)
We retain your personal data and uploaded documents for as long as necessary to provide our services to you and fulfill the purposes outlined in this privacy policy. For example, we retain your user profile data for the duration of your active account.
Deletion Requests for Translation and AI Content
To request deletion, email support@dttranslations.com and identify the relevant order or project. We will take reasonable steps to delete related sessions, chats, uploaded files and other content we control, if such content exists and deletion is permitted. We will also ask the freelancers or other staff involved to delete related content from their CAT tools, AI services, translation memories and other storage they control, and to confirm the steps taken and any known limits.
We cannot independently verify complete deletion from every freelancer or provider system. Provider backups, security or abuse-prevention records, de-identified data and legally required records may remain under applicable terms and retention rules. Deleting a chat or file does not necessarily delete every retained copy, and a deletion request cannot reverse any prior model training. We will communicate known limitations rather than guarantee complete or immediate deletion.

XVI. What Data We Collect and How We Process it
1. Data We Collect and How We Use It (Update)
User Profile Data (Firebase Authentication, Firestore, Storage): "When you create a user account on our website, we collect personal information such as your name, email address, contact number, mailing address and other personal information. This data is stored securely using Firebase Authentication (Firebase product used for user authentication) and Firestore. We use this information to create and manage your user profile, authenticate your access to our services, and personalize your experience on our platform. Any files or documents you upload to your user profile (e.g., source documents for translation, reference materials) are stored securely using Firebase Storage. This data is used solely for the purpose of fulfilling your translation requests and providing our services to you."
2. How We Share and Disclose Your Data (New/Update)
Third-Party Service Providers (General): "We engage various third-party service providers to facilitate our operations, provide our services, and enhance your experience. The protections and permitted processing depend on the applicable product, provider terms, account type and settings. Where a provider acts under contracted data-processing terms, those terms govern its use of the data; independently selected consumer CAT or AI services must not be assumed to carry the same contractual protections as cloud or business services. Our requirements for translators and staff are described above, but we cannot guarantee every freelancer's or provider's behavior or eliminate all retention. We do not sell your personal information to third parties."
Specific Third-Party Service Providers:
- Firebase (Google LLC): "We utilize Google Firebase products (including Hosting, Authentication, Firestore, and Storage) to host our websites at dttranslations.com and dttranslate.com, manage user accounts, store account and order data, and facilitate file uploads. Your personal data and uploaded documents stored within Firebase are subject to Google's Privacy Policy. While Google provides the infrastructure, we retain control and responsibility for your data."
- Telesign (for SMS Communication): "To facilitate communication regarding your translation projects, order updates, and important announcements, we may use Telesign for SMS messaging. When you opt-in to receive SMS notifications, your phone number and relevant message content will be shared with Telesign for the sole purpose of delivering these messages. Telesign's privacy practices are governed by their own privacy policy."
- Mailgun (for Email Communication): "For sending transactional emails (e.g., order confirmations and project updates) and marketing communications (if you have opted in), we use Mailgun. Your email address and the content of our communications will be processed by Mailgun for the purpose of email delivery. Mailgun's privacy practices are governed by their own privacy policy."
- Google Cloud Products (for Operations and AI Processing): "We leverage various Google Cloud products (e.g., Google Cloud Storage, Compute Engine, AI Platform, Natural Language API, Translation API, etc.) to support our operational needs and enhance our translation services. This may involve: Data Storage and Processing: Your documents and project-related data may be temporarily processed or stored on Google Cloud infrastructure for tasks such as file management, computational analysis, or AI-driven quality checks. AI-Powered Features: For example, we may use Google Cloud's AI capabilities to assist with automated document analysis for word count, preliminary language detection, or quality assurance checks on translated text. Google Cloud states that it does not use customer data to train its general-purpose AI models without the customer's permission. We do not give that permission for your confidential documents or personal data. Processing is subject to the applicable Google Cloud data-processing terms, product-specific protections and retention rules. This Google Cloud assurance does not describe consumer Gemini or every other Google product. We maintain access controls and configurations to protect your sensitive information."
- Independent CAT, MT and AI Services (including Gemini and ChatGPT): Translators and staff may use these tools for the service purposes described above. Consumer, API, business and enterprise products can have different training, human-review, storage and deletion practices, and settings may change. Disabling activity or opting out of training is not a promise of no retention or human review. For provider information, see OpenAI's Privacy Policy, Google's Privacy Policy and the Gemini Apps Privacy Notice. These links explain provider practices; they do not guarantee how every independently selected account is configured.
XVII. OTHER VENDORS AND THIRD PARTY PROVIDERS
Firebase Hosting (Google LLC): Our websites at dttranslations.com and dttranslate.com, including their public pages and online forms, are hosted using Firebase Hosting, a Google service. HTTPS encrypts data transmitted between your browser and our websites. We also use Firebase Authentication, Cloud Firestore and Cloud Storage to manage sign-in, account and order information, and uploaded documents, as described above. For more information, see Firebase's privacy and security information.
GMAIL, Google and Google's Enhanced Conversion Tracking: Our clients and/or potential clients can also communicate their personal information and documents via Email. Our Email service provider is called Gmail which is a Google product. Gmail is a widely used service that uses encryption to keep data private while in transit. The email encryption is not however always available. According to Google, "If the person you’re emailing is using an email service that doesn’t encrypt all messages using S/MIME or TLS, their emails might not be secure. However, messages are encrypted in S/MIME whenever possible. For S/MIME to work, to either sign or receive S/MIME encrypted mail, a user must have a valid S/MIME cert from a trusted root." Even if you do not email us your personal information including your documents (data) via Email, we may still keep your data in Gmail as backup. Form submissions that we receive from our website visitors land directly in our Gmail account(s) as email notifications. Our Gmail accounts are protected by strong passwords and 2-step verification processes. For more information, please visit this page - https://support.google.com/mail/answer/6330403?hl=en.
We may share your personal information such as your name, email address or phone number with Google for ad success measurement purposes. We use Google's technology to transmit your data in a privacy-safe way. This technology uses a secure one-way hashing algorithm called SHA256 on your data, such as your email address, before sending it to Google. The hashed data is then matched with signed-in Google accounts in order to attribute our campaign conversions to ad events, such as clicks or views. We need this information to measure the success of our advertising on Google.
Here's a note from Google: Google is committed to protecting the confidentiality and security of your data. We'll keep your data confidential and secure using the same industry-leading standards that we use to protect our own user data. We only report aggregated and anonymised conversions. You can read more about enhanced conversions customer data policies and how we use your data.
OpenAI Ads Measurement: We use OpenAI's advertising measurement tools to understand
whether visits from ads in ChatGPT result in quote requests or completed purchases. When
available, OpenAI supplies an opaque click reference called oppref. We preserve
that reference when you move between dttranslations.com and dttranslate.com and associate it
with your quote or order. OpenAI's browser Pixel may request first-party __oppref
and __obref cookies, with requested lifetimes of up to 30 days and 365 days
respectively. We may send conversion details such as event identifiers, quote or payment value,
currency, the opaque references, and normalized customer identifiers protected with SHA-256
hashing. Completed-payment events may be sent from our server after Square confirms the payment.
We do not send card or banking details to OpenAI for advertising measurement.
Square: Square is our PCI-compliant payment processor which uses encryption and monitoring of transactions to provide additional layers of security and protection. To process payments, we send Square your name and email address. We may also attach your document(s) to the electronic invoice(s) that we send you to collect the payment. The Square collects our customers' payment information (debit or credit card information) by means of these electornic invoices that we send to our customers via Square's platform. In general, we do not directly collect your card or banking information. Square does not expose it to us either. According to Square, Square’s network and servers are housed in a secure facility monitored around the clock by dedicated security staff. Your personal information may be stored with Square indefinitely. Our Square account is protected by a strong password and 2 step verification processes. To read about Square's security measures, please follow this link - https://squareup.com/security.
CLOUD STORAGE: We may keep your data (personal information including your documents) with leading cloud storage providers, Microsoft OneDrive and/or Google Drive. Our cloud storage accounts are protected by strong passwords, 2-step verification processes and/or additional layers of security. Once your data is in our cloud storage, it is also governed by Microsoft and Google's privacy policies - https://privacy.microsoft.com/en-us/privacystatement or https://policies.google.com/privacy?hl=en&gl=us.
WHATSAPP: We use WhatsApp ( a secure messaging platform) to communicate with our translators and coordinators. WhatsApp greatly facilitates the translation management process by speeding up the exchange of files and information. This allows us to provide fast and reliable services to our customers. WhatsApp uses end-to-end encryption and other security features to provide safety and privacy of your and our personal information including your documents. To learn more about WhatsApp, please visit https://www.whatsapp.com.

Your Privacy Choices
Use the Your Privacy Choices control on our website to manage website analytics and advertising tracking separately. Essential account, security, upload, quote and payment functions remain available when optional tracking is off.
For visitors identified as being in the United States, optional tracking can operate by default unless an applicable opt-out is detected. Ignoring or closing the notice leaves those defaults in place; it is not recorded as affirmative consent. For other or unknown locations, optional tracking stays off until you enable it. A browser Global Privacy Control signal turns off advertising tracking and takes precedence over older saved permissions.
Advertising measurement can include quote or purchase events, amounts, transaction identifiers and permitted contact identifiers used for matching. Google and Microsoft are our current measurement providers; other providers listed in this policy may be paused. Analytics can include browser identifiers and usage information and is not necessarily anonymous. Turning off advertising tracking also stops our advertising conversion reporting; it does not prevent us from maintaining operational order and payment records.
We store your category choices and notice dismissal separately in your browser, normally for up to 180 days. When you sign in, we also check and save your account privacy preferences so restrictions can apply across our domains and devices. Before sign-in, we may not know which account is yours. A saved opt-out or browser signal is not overridden by an older permission. Changes affect future collection; they do not retract information already sent.
To choose the appropriate regional default, our server looks up a coarse country using a local IP-country database; it does not send your IP to a separate geolocation vendor. Turning off scripts that already started may require a page reload, which the controls explain before saving. You may also manage cookies in your browser, though blocking essential browser storage can affect sign-in. These optional tracking controls are independent of those essential functions.
IX. CHANGES TO OUR PRIVACY POLICY
The Company reserves the right to change this Privacy Policy and our Terms of Use at any time. If we decide to change this Privacy Policy, we will post these changes on this page so that you are always aware of what information we collect, how we use it, and under what circumstances we disclose it. Any such modifications become effective upon your continued access to and/or use of the Service five (5) days after we first post the changes on the website or otherwise provide you with notice of such modifications. It is your sole responsibility to check this website from time to time to view any such changes to the a of this Privacy Policy. If you do not agree to any changes, if and when such changes may be made to this Privacy Policy, you must cease access to this website. If you have provided your email address to us, you give us permission to email you for the purpose of notification as described in this Privacy Policy.
X. MERGER OR ACQUISITION
In the event we undergo a business transaction such as a merger, acquisition by another company, or sale of all or a portion of our assets, your Personal Information may be among the assets transferred. You acknowledge and consent that such transfers may occur and are permitted by this Privacy Policy, and that any acquirer of our assets may continue to process your Personal Information as set forth in this Privacy Policy. If our information practices change at any time in the future, we will post the policy changes here so that you may opt out of the new information practices. We suggest that you check this Privacy Policy periodically if you are concerned about how your information is used.
XVIII. Cookies and Similar Technologies
Our website uses "cookies" and similar tracking technologies to enhance your Browse experience, analyze site usage, and support our marketing efforts. Cookies are small data files placed on your device when you visit a website. They allow us to recognize your browser, remember your preferences, and provide personalized features. - OpenAI Ads: We use first-party OpenAI measurement cookies to attribute eligible quote
requests and purchases to ads shown in ChatGPT. The
__opprefcookie stores an opaque ad-click reference, and the__obrefcookie stores an opaque browser reference used for conversion matching. - Google Analytics: We use Google Analytics cookies to collect information about how visitors use our website. This includes data such as the number of visitors, the pages they visit, the time spent on the site, and other usage statistics. This information helps us improve our website's performance and user experience. Google Analytics may also use cookies to track users across different websites for advertising purposes.
- Other Third-Party Cookies: We may also use cookies from other third-party providers to enhance your experience on our website. These cookies may be used for various purposes, including analytics, advertising, and social media integration.
