How it all works
The following is a concise version of our terms and conditions that can be accessed here.
HOW THE PROCESS GOES:
1. Once the translation(s) is/are complete, it/they will be sent in PDF and/or MS Word for approval to your email address indicated on an invoice.
2. Once you review your translation(s), you can request changes/corrections and/or provide your approval and mailing address if applicable.
3. The translation(s) will then be notarized and mailed if such services were requested and paid for.
4. The soft copies of our official document translations are certified, stamped, dated and signed so they can also be printed out and used for a variety of purposes that permit print-outs or photocopies.
5. All business and technical translations can be provided in MS Word and/or PDF.
OTHER IMPORTANT DETAILS:
1. Translations are emailed on the day that they are due or by the end of the day (EST 12am).
2. Please note your translation(s) will be sent from [email protected] so please consider adding this email to your contact list or address (optional).
3. If you do not receive your translation in your inbox, please check your spam.
4. The E.C. time can be expedited at an additional cost, please inform us if expedition is required.
5. If your translation's due date falls on a Sunday, please expect to receive it on Monday due to our office being closed on Sundays.
6. All notarized hard copies are sent by physical mail only. We are primarily an online translation service. Therefore, we do not normally expect to see people in person or offer pick ups. However, in-person visits may be possible by appointment only and depending on the volume of the order (email for more details).

QUALITY ASSURANCE
1. D&T Translations is committed to providing good-quality translations at the minimum.
2. D&T Translations guarantees that the translation will be handled by a professional human translator(s) with either extensive or sufficient experience.
3. Medical documents only: If your document(s) is/are of medical nature, then, please keep in mind that we might assign it to a translator who does not specifically specialize in medical translation simply because they are not always readily available for every language pair. However, most of our translators translate in a variety of fields including medicine and healthcare by doing the necessary research to translate as accurately as possible.
4. All our translators research any unknown terms and follow the formatting as closely as possible. They are also instructed to carefully proofread their translations upon completion. However, errors and omissions are still possible and formatting is not identical.
ERRORS/OMISSIONS - CHANGES/CORRECTIONS
1. We expect our clients to be able to review their translation(s). If you are unable to review the translation(s), please consider having a staff member, associate, close friend, relative, family member or anyone else that you trust and who is fluent and competent in the needed languages help you review the translation(s). If you still do not have anyone, please check such important information as names, numbers, and dates yourself.
2. Translations are performed by experienced professionals, and rarely have errors in grammar, lexicon and syntax, though, they are still possible for various reasons. For an additional fee, the translation can also be proofread by another translator other than the one who translated it (email for more details).
3. D&T Translations will promptly correct any mistakes, errors, discrepancies or inconsistencies if they are found. We, therefore, reserve the right to make errors and omissions and ask for deadline extensions to make any changes within reasonable limits - 5-24 or more hours depending on the service type and workload (usually not longer than 48 hours).
4. Changes and/or corrections based on subsequent modification(s) to the original document(s) may be charged for as a translation or proofreading service.
5. If a translation with errors and omissions may cause you an extreme hardship or loss, please refrain from using our services.
DELAYS
1. Delays are possible for various reasons. D&T Translations will promptly notify the customer if there is a delay in the completion of the translation. We normally resolve delays fairly quickly.
2. Delays are even possible with our expedited services that usually have guaranteed time-frames. If we significantly exceed the promised time-frame or turnaround time of an expedited service, the customer may request a full or partial refund.
3. While we rarely fail on our promised turnaround times, we can not or do not guarantee that our customers will meet their deadlines. It is the customers’ responsibility to plan out the timely receipt of the soft and hard copy (ies) of the translation(s) to meet their deadlines.
4. If the invoice is paid after 8:00 pm EDT, the estimated completion time starts the following day from 9:00 am.
5. If a delayed translation may cause you an extreme hardship or loss, please refrain from using our services.
HOW TRANSLATIONS ARE PRESENTED
1. Official document translations are placed onto our letterhead and are accompanied by our agency's certification of translation accuracy. Our certifications are signed by our project managers. To view a sample, please visit our website or email for more details.
2. D&T Translations supplies certified translations only in protected PDFs that can not and/or should not be altered by the customer. Business and technical translations can be delivered in MS Word and/or other formats and can be modified at will.
3. The digital versions of our certified translations are primarily black and white. They are certified, stamped, dated and signed. They can be printed out and used for various purposes including the USCIS.
4. D&T Translations mails notarized hard copies in black and white, plain paper. No copies of original documents are included unless otherwise requested. All notarized hard copies are sent by physical mail only. We do not offer pick ups and in-person visits may be possible by appointment only (email for more details).
5. D&T Translations does not email notarized translations but mails them instead because notarization is valid with original signatures only.
6. The formatting of our certified translations approximates that of the original documents, however, it is rarely identical. We use MS Word to recreate a simple format but we do not by default use graphical design software like Adobe Photoshop. For business and technical translations, we try to preserve the format and design of the original material as much as we can. A graphic design service using Adobe Photoshop or other similar software may be arranged for an additional fee.
7. D&T Translations labels invisible text as illegible unless the customer provides a better copy.
NOTARIZATION/MAILING
1. Notarization is only performed by an New Jersey based notary public with active commission. D&T Translations uses FedEx to deliver the notarized copies. Notarization and mail drop off may take additional 24-48 hours excluding weekends. To see what mailing service and how many notary stamps are included in your invoice, please scroll down. If you requested notarization and mailing, but they are not included in this invoice, please let us know. An expedited and outside of business hour notarization service may be requested for an additional $25.
TRANSLATION REQUIREMENTS
1. Various government and private agencies and establishments in the USA and around the world have different translation requirements. Therefore, the customer must notify D&T Translations of their translation requirements in advance. Without knowing the exact translation requirements in advance, it may not be possible to ensure acceptance. The customer must contact the requesting authority to find them out. If the translation requirements are not provided by the customer, D&T Translations provides the default certified translation done by qualified translators based in the USA or around the world.
2. To determine the acceptability of our default certified translation, please visit our website and find the Samples page. There, you can view a sample of our certification.
Academic translation:
1. Please keep in mind that our academic translations are word for word with no attempts to evaluate, localize or interpret unless otherwise requested before the issuance of the invoice. Our certification of translation accuracy (certified translations) comes on our company letterhead and is signed by our project managers on behalf of our translators. Our certifications are not modifiable. To view a sample of our certification, please go to https://www.dttranslations.com/document-translation.html.
More on the presentation, delivery and appearance of our translations:
1. By email, the translations are delivered in a protected PDF format. We do not deliver certified and document translations in Word or any other text editable formats. Business translations can be delivered both in WORD (non-certified and without our letterhead) and PDF (certified and on our letterhead). Mailed hard copies are standard black and white. We have discontinued color copies. We use plain multipurpose office paper with the following dimensions and specifications; 96 bright, 8 in x 11 in, 216 mm x 279 mm, letter size. Translations of more than one page are stapled together. We do not normally include soft or hard copies of the original documents to the translations. If it is required, please let us know before paying this invoice.
2. We reserve the right not to translate the text that we deem illegible due to its being invisible, blurry, faded, washed out or cut off. In this case, we will simply label it as "illegible".
3.. Note: Notarized translation will only be mailed. It is not or will not be emailed.
4. Please take all the necessary measures to receive the mail once it gets delivered to your address as we will not be responsible for it after FedEx successfully updates the status to "Delivered" on their online tracking system.
5. It is the customer's responsibility to be aware of his or her translation requirements and let us know of them before paying this invoice. No refund will be issued if the translation does not meet certain requirements which D&T Translations was not notified about in advance of this invoice.
6. If mailing is chosen and paid for, the customer will provide the mailing address via email once the translation is ready. If the customer provides an incorrect or incomplete address and the translation has already been mailed, the customer will have to pay for another certified and notarized copy at $10 each and the mailing fee.
7. You can get the tracking number for your mail by emailing us at [email protected].
It is the customer's responsibility to visit the FedEx's website at www.fedex.com or contact FedEx for any details regarding the mail.
8. Please plan and order translation well ahead of any deadline. We do not assume any liability for the customer's inability to meet a certain deadline to submit their translation(s). It is the customer's responsibility to plan out the timeline of the receipt of the digital as well as the hard copies of the translation so as to meet their deadline. We strongly recommend customers who are in a rush or on a tight schedule to use our Expedited Services such as our Express or Priority Services. We also recommend using the Express Shipping option to receive the hard copy of the translation by mail to help meet a close deadline. Even with Expedited Services, please be advised to plan and get your translation needs satisfied well ahead of time for any deadline you may have.
9. If you are using our apostille obtainment services, please keep in mind that we do not assume any liability for the US government's inability (rare occurrence) to timely issue an apostille nor do we take any responsibility to ensure timely delivery to meet any of our customers' deadlines. We normally use the next day processing at $40 per apostille and the FedEx 3 day for outbound delivery as well as FedEx 2 day to have the apostille shipped back. If you are in a rush, we recommend using FedEx First Overnight® (1-2 business day delivery). Keep in mind, that you would need 3 envelopes.
10. We reserve the right to ask for a deadline extension within reasonable limits on our apostille obtainment services due to government's errors, delays and other unforeseen circumstances.
11. While we stand for accuracy and perfection, we are all human so errors and omissions are possible. The quality of your document(s) is a crucial part of accurate translation. If you detect any, please let us know and allow us up to 12-48 hours to fix them depending on the volume of your order. Before requesting corrections or changes to be made on your translation(s), please take your time to carefully go over the translation(s) to let us know what to correct, change, modify or remove all at once. We only allow one free revision so any subsequent requests for revision will be charged for as for proofreading. if you have no knowledge of the target language (the language that the translation is done into), then simply check the numbers, dates and names for accuracy if possible. For the rest, please rest assured that the translations are done by highly qualified translators who are native speakers of the target language(s). If you feel that independent proofreading is necessary, then please let us know and we will arrange that for a fee. Please refrain from asking us to implement different choices of words in place of the words that accurately reflect the meaning and context of the source language (the language that the translation is done from). Priority and Express orders are prioritized and are treated expeditiously.
12. Once the translation is complete, it will first be sent to the email address on file. Please note it will be sent from [email protected] so please add this email to your contact list or address. Once you review and approve it, you will provide us with your MAILING ADDRESS and it will then be printed out, notarized and/or mailed if paid for. Please note that it may take another 48 hours on average for it to get notarized and mailed after approval (no mail drop-offs on weekends).
SECURITY
1. D&T Translations will take all the necessary measures to protect the confidentiality and security of the customer’s personal information and their document(s).
2. We use such web platforms as Weebly, Square, WhatsApp, Gmail and Microsoft to store and process your personal information as well as documents. All of these web services have encryption capabilities to help secure your information and documents. However, please keep in mind that 100% security and privacy can not always be achieved. Therefore, you must assume the risk when using our services.
3. Your personal information and/or documents are shared with our project coordinators and translators based in the USA and around the world. This must be done to facilitate the translation process and delivery. All of them, however, are professionals and are well aware of the confidential nature of their work. If you would rather not have your personal information and/or documents shared with a translator based in a particular country, please let us know in advance.

LIABILITY
D&T Translations' liability for any loss or damage arising out of or related to the services provided under this invoice is limited to the total amount paid for those services. This limitation applies to all claims, whether based on breach of contract, negligence, or any other legal theory. It also applies to all types of loss or damage, including direct, indirect, consequential, incidental, and special damages. Furthermore, the client agrees to indemnify and hold D&T Translations harmless from any third-party claims arising out of the client's use of the translated materials.
DISPUTE RESOLUTION
Any dispute, controversy, or claim arising out of or relating to this Agreement, or the breach, termination, or validity thereof, shall be settled by online arbitration in accordance with the Commercial Arbitration Rules of the American Arbitration Association, as modified to be conducted entirely online. The arbitration shall be conducted by a single arbitrator. The language of the arbitration shall be English. The arbitrator's award shall be final and binding on the parties, and judgment may be entered upon it in any court having jurisdiction.
DATA RETENTION
D&T Translations currently has a 3 to 6-month data retention policy for most sensitive documents. Business files may be held for an indefinite period of time to be able to provide our services efficiently.
Cancellation Policy:
Cancellations are not possible one hour after the invoice has been paid. Orders are given out to translators within an hour. If a cancellation is requested before an hour elapses, a full refund is issued. Late cancellations incur fees which vary from minimum 20% to maximum 100% of the total amount paid depending on when the cancellation is requested.
Refund Policy
In short, a translation must either be officially rejected with verifiable proof, exceed the promised turnaround time by a certain time explained below, be of extremely poor quality with certain exceptions (see below) or be a special case to qualify for a refund. Details: Non-conformity - If the translation is not accepted because it does not meet a certain requirement of which D&T Translations was not notified, a refund will not be possible. If the translation is not accepted because it does not meet the requirement(s) of which D&T Translations was notified fully and in detail prior to the payment of this invoice, the customer must present official written or typed proof clearly stating that the translation was not accepted and the reason why the translation did not meet the requirement(s). For example, in case of the USCIS rejecting our translation, the customer must provide the official RFE letter. We will make any necessary adjustments to make the translation acceptable. If we cannot make the translation acceptable, a full refund will be provided. Errors and omissions - Refunds based on errors and/or omissions are not possible within reasonable limits. The translation must be of extremely poor quality with certain exceptions to qualify for a refund based on errors and omissions. The quality assessment is based on a combination of such factors as the number of errors and omissions, overall grammatical and syntactical structure, usage of technical and other terms, formatting and other. Exceptions range from the quality of the source material, text presentation (handwritten) and other. Delays - Refunds based on untimely completion are only possible if we exceed the estimated completion time without notifying you of a delay or extension by 24 hours for small projects (1-5 pages), 48 hours for medium size projects (5-15 pages) and 72 hours for big projects (20-50 pages). A refund can take up to 9-14 business days.

LIABILITY
D&T Translations' liability for any loss or damage arising out of or related to the services provided under this invoice is limited to the total amount paid for those services. This limitation applies to all claims, whether based on breach of contract, negligence, or any other legal theory. It also applies to all types of loss or damage, including direct, indirect, consequential, incidental, and special damages. Furthermore, the client agrees to indemnify and hold D&T Translations harmless from any third-party claims arising out of the client's use of the translated materials.
DISPUTE RESOLUTION
Any dispute, controversy, or claim arising out of or relating to this Agreement, or the breach, termination, or validity thereof, shall be settled by online arbitration in accordance with the Commercial Arbitration Rules of the American Arbitration Association, as modified to be conducted entirely online. The arbitration shall be conducted by a single arbitrator. The language of the arbitration shall be English. The arbitrator's award shall be final and binding on the parties, and judgment may be entered upon it in any court having jurisdiction.
DATA RETENTION
D&T Translations currently has a 3 to 6-month data retention policy for most sensitive documents. Business files may be held for an indefinite period of time to be able to provide our services efficiently.
Cancellation Policy:
Cancellations are not possible one hour after the invoice has been paid. Orders are given out to translators within an hour. If a cancellation is requested before an hour elapses, a full refund is issued. Late cancellations incur fees which vary from minimum 20% to maximum 100% of the total amount paid depending on when the cancellation is requested.
Refund Policy
In short, a translation must either be officially rejected with verifiable proof, exceed the promised turnaround time by a certain time explained below, be of extremely poor quality with certain exceptions (see below) or be a special case to qualify for a refund. Details: Non-conformity - If the translation is not accepted because it does not meet a certain requirement of which D&T Translations was not notified, a refund will not be possible. If the translation is not accepted because it does not meet the requirement(s) of which D&T Translations was notified fully and in detail prior to the payment of this invoice, the customer must present official written or typed proof clearly stating that the translation was not accepted and the reason why the translation did not meet the requirement(s). For example, in case of the USCIS rejecting our translation, the customer must provide the official RFE letter. We will make any necessary adjustments to make the translation acceptable. If we cannot make the translation acceptable, a full refund will be provided. Errors and omissions - Refunds based on errors and/or omissions are not possible within reasonable limits. The translation must be of extremely poor quality with certain exceptions to qualify for a refund based on errors and omissions. The quality assessment is based on a combination of such factors as the number of errors and omissions, overall grammatical and syntactical structure, usage of technical and other terms, formatting and other. Exceptions range from the quality of the source material, text presentation (handwritten) and other. Delays - Refunds based on untimely completion are only possible if we exceed the estimated completion time without notifying you of a delay or extension by 24 hours for small projects (1-5 pages), 48 hours for medium size projects (5-15 pages) and 72 hours for big projects (20-50 pages). A refund can take up to 9-14 business days.
